1. Introduction

This Privacy Policy explains how WebNeuro Inc. ("WebNeuro," "we," "us," or "our") collects, uses, stores, protects, and discloses information in connection with TONVUX, including the TONVUX website, subscriber portal, dashboard, widgets, kiosks, integrations, and related services (collectively, the "Services").

TONVUX is designed for clinics, pharmacies, and other healthcare organizations that need to publish operational status information, such as estimated wait times, availability, announcements, location status, and display settings. TONVUX is a business-to-business platform and is not intended to provide medical advice, diagnosis, treatment, triage, or emergency guidance.

The core TONVUX Status service is designed to operate without collecting, displaying, or storing patient diagnoses, health card numbers, treatment details, appointment notes, or medical records. If a subscriber enables optional communication features, limited contact information may be processed only as needed to deliver that feature.

2. Who This Policy Applies To

This Privacy Policy applies to subscriber organizations, authorized team members, administrators, and website visitors who interact with TONVUX. It also explains how public-facing clinic or pharmacy status information may be displayed to patients and other visitors.

Subscriber organizations remain responsible for their own privacy, consent, patient records, clinical workflows, and compliance with the laws that apply to their operations.

3. Information We Collect

We collect only the information reasonably necessary to provide, secure, support, maintain, and improve the Services.

3.1 Subscriber Account Information

  • Organization name, business address, website, locations, and contact details.
  • Authorized user names, staff email addresses, roles, and account permissions.
  • Support contact information, billing contact information, and account communications.
  • Encrypted or hashed authentication credentials. We do not store passwords in plain text.

3.2 Operational Status Information

  • Estimated wait time, open or closed status, availability status, provider availability labels, announcements, and display messages.
  • Location information, operating hours, holiday hours, public contact links, and website widget settings.
  • Branding and configuration settings, such as colors, language preferences, display style, button links, and kiosk settings.

3.3 Technical and Usage Information

  • Login timestamps, account activity logs, audit logs, access events, browser type, device information, IP address, and standard server logs.
  • Widget load events, dashboard activity, kiosk activity, and anonymous or aggregated usage analytics.
  • API keys, registered domains, integration status, and technical identifiers needed to deliver the Services.

3.4 Payment and Subscription Information

  • Subscription plan, invoice status, payment status, renewal dates, and billing history.
  • Payment processing may be handled by a third-party payment processor. WebNeuro does not store full credit card numbers, CVV codes, or full payment credentials.

3.5 Optional Communication or Integration Data

  • If optional SMS, notification, booking-button, Google Business Profile, AI assistant, or other integrations are enabled, TONVUX may process limited information needed to provide that feature.
  • Where SMS or similar notifications are enabled, limited contact information such as a phone number may be processed for delivery, logging, opt-out, security, or troubleshooting purposes. Subscribers are responsible for obtaining any required consent and using these features lawfully.

4. Information We Do Not Intend To Collect

TONVUX is not designed to collect, store, or display patient medical records. Subscribers must not enter sensitive patient information into TONVUX unless WebNeuro has expressly confirmed in writing that a specific feature is designed and authorized for that purpose.

  • Patient diagnoses, clinical notes, treatment details, prescriptions, medical records, or lab results.
  • Provincial health card numbers, billing numbers, or insurance claim details.
  • Sensitive personal health information that is not required for the Services.
  • Emergency triage information or clinical assessment information.

5. How We Use Information

WebNeuro uses information to provide and protect TONVUX and to support subscriber organizations.

  • Create, authenticate, and manage subscriber accounts.
  • Display subscriber-approved clinic or pharmacy status information through widgets, kiosks, dashboards, and related interfaces.
  • Provide support, onboarding, troubleshooting, maintenance, security monitoring, and service notices.
  • Process subscriptions, invoices, renewals, account status, and payment confirmations.
  • Maintain audit logs, prevent misuse, protect the platform, and enforce agreements.
  • Improve product reliability, usability, performance, accessibility, and security.
  • Comply with applicable legal, regulatory, tax, accounting, security, and dispute-resolution obligations.

6. Canadian Privacy and Healthcare Context

WebNeuro is based in Alberta, Canada. TONVUX is designed with Canadian healthcare privacy expectations in mind, including data minimization and role-based access. Depending on the subscriber and jurisdiction, privacy laws may include PIPEDA, Alberta PIPA, Alberta HIA, Ontario PHIPA, CASL, and other federal or provincial requirements.

TONVUX does not replace a subscriber’s own privacy program. Clinics, pharmacies, and healthcare organizations are responsible for determining what laws apply to them, obtaining required consents, controlling patient records, training staff, and using TONVUX in a lawful manner.

7. Data Residency, Hosting, and Service Providers

Where supported by our current infrastructure, TONVUX clinic operational data is stored on Canadian-hosted infrastructure. Some service providers may process limited information outside Canada where necessary to provide payment, email, security, analytics, or cloud services.

We may use service providers such as cloud hosting providers, payment processors, email providers, analytics providers, support tools, monitoring tools, and integration providers. These providers are authorized to process information only as needed to provide services to WebNeuro and are expected to use appropriate safeguards.

8. Security

WebNeuro uses commercially reasonable administrative, technical, and physical safeguards designed to protect information against unauthorized access, use, disclosure, alteration, and loss. These safeguards may include encryption in transit, encryption at rest where applicable, access controls, role-based permissions, audit logs, monitoring, backups, and security reviews.

No internet-connected service can be guaranteed to be completely secure. Subscribers are responsible for maintaining strong passwords, protecting account credentials, limiting access to authorized team members, promptly removing users who no longer require access, and notifying WebNeuro of suspected unauthorized access.

9. Data Retention and Deletion

We retain information for as long as reasonably necessary to provide the Services, maintain records, comply with legal obligations, resolve disputes, enforce agreements, and protect the platform.

Active account data is generally retained while the account remains active. Following cancellation or termination, subscriber configuration and operational data may be retained for up to 90 days unless a longer period is required for legal, security, tax, accounting, backup, audit, or dispute-resolution purposes. Certain logs or records may be retained for longer where required or reasonably necessary.

10. Access, Correction, Export, and Deletion Requests

Subscriber administrators may request access to, correction of, export of, or deletion of their organization’s information by contacting WebNeuro. We may need to verify the requester’s authority before completing a request. Some information may not be deleted immediately if retention is required for legal, security, tax, accounting, backup, or dispute-resolution purposes.

11. Cookies, Logs, and Analytics

TONVUX websites, dashboards, widgets, and related services may use cookies, local storage, logs, or similar technologies for authentication, security, session management, preferences, analytics, monitoring, and service delivery. Public widget analytics should be used for operational insight and should not be treated as clinical or diagnostic information.

12. Authorized Access and Account Monitoring

The TONVUX subscriber portal is for authorized users only. Access may be monitored, logged, and reviewed for security, support, audit, misuse prevention, and enforcement purposes. Unauthorized access, attempted access, credential sharing, scraping, reverse engineering, or misuse may result in suspension, termination, investigation, or other appropriate action.

13. Breach and Incident Response

If WebNeuro confirms a security incident that affects subscriber information, WebNeuro will take reasonable steps to investigate, contain, mitigate, and notify affected subscribers as required by applicable law and contractual obligations. Subscribers are responsible for notifying patients, regulators, or other parties where required for information under the subscriber’s control.

14. Children’s Information and Patient Use

TONVUX is intended for use by subscriber organizations and authorized team members. TONVUX is not intended for direct account registration by children or patients. Patients and public visitors do not need a TONVUX account to view public clinic or pharmacy status information.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If changes are material, we will provide notice by posting the updated policy, sending email notice, or using another reasonable method. Continued use of the Services after the effective date of an updated policy means the subscriber accepts the updated policy.
